Records
Capture project information with types and fields that fit your work.
A record keeps project information useful after the conversation ends. It can hold a question, meeting notes, a defect, or a decision, with an owner, status, comments, and supporting documents.
RFI is a starting point. Your project can create other record types as its needs grow.
Drafts and published revisions
New records begin in My drafts, visible only to their author. Edit and save as often as needed, then choose Publish to share a numbered revision with the project. Publishing keeps the record number unchanged.
Edit record fields directly to start a private draft. Existing drafts resume automatically when you open the record. Your team continues seeing the published content until you publish again. Activity brings published revisions, comment summaries, and other changes together; its Revisions filter shows versions alone. Open a revision to preview changes from its preceding version without leaving your draft. Restore to draft prepares an earlier revision for editing; publishing it creates the next revision and retains its source.
If someone publishes while you are editing, your draft stays saved. Review their revision before choosing to keep and publish your draft. Publication is separate from workflow status: a published RFI can still have status Draft, and publication does not mean formal approval.
Project managers can withdraw a record from the shared register without losing its history. Use Withdrawn to find it again. Guest edits through an edit link create a shared revision immediately. Comments, drawing links, tags and related tasks keep their own history.
The type, and the properties it adds
Open Project settings → Record types and choose New. Give the type a name, icon, and number prefix, then add the fields you need under Properties.
For example, a Defect type could add:
| Field | What the team enters |
|---|---|
| Observed on | The date the defect was found |
| Category | Workmanship, damage, or incomplete work |
| Rectification due | The target date for correction |
Fields can hold text, numbers, dates, yes/no answers, or dropdown choices. You can mark fields as required.
Numbering, status, comments, and document links are already part of records. RFI also has a dedicated response field.
Where types come from
A project template provides a starting set of types. You can add, edit, archive, or copy types between projects afterwards. Your private Default project begins with RFIs and drawings.
Links: the question and the evidence together
Link a record to a document, drawing page, or marked region. Add a short explanation of why it matters.
Links stay on the drawing revision they were created against. Carrying them forward is a separate choice.
Records and tasks
Use a record to capture the information or answer. Use a task for work that follows, linked back to the record.
