Raise and answer an RFI

Keep the question, supporting drawing, and answer together.

An RFI is a record for a question that needs a formal answer.

1. Raise it

Create an RFI from Records, start from a marked drawing region, or ask the agent to draft one.

Describe the issue and the question clearly. Add the relevant trade, location, priority, assignee, and due date. Every new RFI starts as your private draft; check it and choose Publish before sharing it with the team. The exception is typing a new RFI straight into the Gantt outline: pressing Enter publishes it immediately, as it does for tasks. Drawing evidence selected during creation becomes shared at publication.

Link the drawing, page, or marked region that explains the issue. Add a short reason, such as “shows the duct run at gridline 4.”

The link stays on the revision you selected. A new revision does not silently change the evidence. You can also cite a mark in a comment using its #MARK reference.

3. Route it

Assign the RFI to the person responsible for answering and set its status to Open. Your changes save to a private draft automatically; choose Publish to share the revised fields.

If the reviewer is outside the project, share the record or drawing so they can contribute without joining the project.

4. Answer it

Keep discussion in comments. Put the agreed answer in the RFI's Response field, then Publish so it is easy to find later. Activity → Revisions retains earlier answers and highlights what changed. Comment summaries in Activity open the full discussion in Comments.

The usual progression is Draft → Open → In review → Answered → Closed. Review the response before closing. Agent-proposed status changes need your confirmation.

5. Act on the answer

Create a linked task when the answer requires site work or another action.

Working the register

Use the Records list to search, filter by status, priority, or trade, and check deadlines. Follow-ups, when enabled, help surface urgent and overdue work.
